Recruitment Process Maps

The recruitment process is a complex HR area and the specific recruitment processes have to be split into the logical groups. Employees and managers can orientate themselves in recruitment processes quickly. They can understand the main inputs and outputs from the group of the processes and then from the specific recruitment process.

The recruitment processes have a different importance, and they have different clients and process owners. Many processes require the assistance of other HR Specialists to be run successfully. The C&B Department has to collaborate on setting the salary ranges for the new hires. The Career Development Department has to be attached closely to the Internal Recruitment Process to make it compliant with the promotion process.

Groups of recruitment processes

The main groups of recruitment processes are:

  • Job Definition
  • Opening Job Position
  • Interviewing
  • Close the Job Vacancy

The recruitment processes maps should always follow the rule of simplicity and the complex overview of the process. The inputs and outputs should be visible immediately, and the necessary cooperation should not be found right in the middle of the process.

Recruitment Process MapThe main input and output of the recruitment process

The recruitment process should never lose its focus on the main input and output. The main input of the recruitment is the job vacancy. The main output of the recruitment process is the new hire.

It is the fundamental rule for mapping the recruitment process. The process map and the design of the process should focus primarily on the delivery of the final output of the recruitment process. The other recruitment processes should act as support for the main process.

The manager should immediately recognize the importance of the job definition. When the job description is done correctly then time to hire shortens significantly without any additional “speeding-up” process steps.

The recruitment process should be as easy as possible. The number of job interviews should be limited. The assessment centers should be mandatory just for the key job positions. The assessment center is not a replacement of a quality job interview.

Logical inputs and outputs of recruitment processes

The recruitment process has to respect the logical grouping into main process steps. The grouping helps the clients of the process to orientate themselves in the main inputs. The manager usually does not understand fully to the requirements of the HR Recruiter, and a robust process map and a description of the recruitment process can help a lot.
